DAY 1 & WEEK 1 ADMISSIONS & SETTLING PROCEDURE
For all new KS3 and KS4 placements
1. PRE-ADMISSION PREPARATION (Before Day 1)
A. Information Required From Referring School
Lead: Lloyd (Centre Manager)

Lloyd ensures the following are collected and checked:

  • Rapid Response Referral Form
  • Risk assessments
  • Attendance history
  • Behaviour logs & previous interventions
  • SEN information (if applicable)
  • Emergency contact details
  • Previous ILP/Student Passport (if available)
B. Handover to Internal Team

Lloyd provides all documents to:

  • Malikah – Assessment & Mentoring Lead (SEMH + ILPs)
  • Amy – Communication & Attendance Lead
2. DAY 1 ARRIVAL & WELCOME
A. Mentor & Key Worker Introduction (9:00–9:45am)
Lead: Malikah
  • Welcome, tour and settling
  • Expectations explained
  • Rapport-building conversation
  • Initial SEMH check
  • Emotional readiness assessed
B. Searching Procedure

Carried out by trained staff in line with DfE Searching, Screening & Confiscation Guidance (2022).

C. Attendance Check
Lead: Amy

Amy records attendance and contacts parent to confirm safe arrival.

3. DAY 1 ASSESSMENTS (SEMH + Academic)
A. SEMH Assessment
Lead: Malikah
  • Boxall indicators
  • Emotional regulation profile
  • Triggers and coping strategies
  • Strengths profile
  • Relationship/attachment observations
B. Academic Baseline Assessment
Managed by: Malikah | Prepared by: Amy

Students complete:

  • Maths baseline
  • English baseline
  • Reading age assessment
  • Writing sample
  • Purple Ruler baseline diagnostics (when IT available)

If technology is unavailable, Amy provides handwritten assessment packs.

4. ILP / STUDENT PASSPORT CREATION
Lead: Malikah
A. Induction Conversation Themes
  • Emotional development
  • SEMH needs
  • Behaviour patterns
  • Triggers and motivators
  • Learning preferences
  • Personal goals
  • Student voice and aspirations
B. ILP Completed on Day 1

Includes:

  • SEMH baseline summary
  • Key triggers & strategies
  • Behaviour summary
  • Academic baseline
  • SMART mentor targets
  • Communication plan
  • Key worker details
  • Mentor: Malikah
  • Pathway Lead: Lloyd
  • DSL: Lloyd / CEO (in absence)
C. System Setup & Administration
Lead: Amy
  • Prepares ILP for upload
  • Adds student to Purple Ruler (24hr notice required)
  • Ensures all staff receive ILP & risk information
5. ADMISSIONS ADMINISTRATION
Lead: Amy

All completed on Day 1:

6. WEEK 1 SETTLING-IN PROCEDURE
A. Daily Mentor Check-ins
